Officer Reports

Chair – Susan G. & Action Items:
Susan reported the Washington Association of Library Employees (WALE) conference is schedule for 10/14-16 in Seattle. They will host 1 person from SSD attending by paying hotel and registration. Rea made a motion that SSD host a 2nd attendee paying registration, hotel and travel. Motion seconded and carried. Susan Bacina confirmed that she will be 1 of the attendees. Attendees will report their experiences on the blog and to the board. They should also check the WALE website for sessions and preconference to determine how many days they’d like to attend. SSD scholarship money is also available.

Discussed the possibility of web conferencing. Susan and Cathy will be trying out Skype to see how well it functions and how simple. Since this meeting it was attempted and we had a successful discussion. Skype needs to be downloaded to the user’s computer, which was done at Cathy’s computer by her IT department. Susan already had it on her computer. Both of us had web cameras. Those cost around $50. For 2 very non-techie people, we had no problem with getting it going.

Susan suggested a resource page be set up on our website with a link on the blog. This page would include the business card template created for the conference as well as other useful links to assist support staff in our daily lives.

Past-Chair – Cathy:
Cathy recommended that a small nominations committee be formed and the sooner recruitment begins the better. The YouTube video had 85 hits. This may be a useful tool to continue using.
Cathy recommended that the SSD Treasurer be involved with negotiating contracts for future conferences along with the Past Chair.
She also shared some brief information on certification financial support that Deschutes Public Library is offering their staff. She’ll send the budget request to Kristynn. Susan reported that 8 Oregonians have registered.

Treasurer – Rea:
Rea reported a balance of $27,789.37. All conferences expenses have not been reported including the Salem Convention Center.
Rea provided a brief history of how SSD actually makes money, which is primarily from the book repair workshops. The expenses for the workshops is $9-$11 for each kits plus the cost of snacks. Carollee and Kris do not charge for their instruction of the workshops. We sponsor 2-3 per year.

Archivist – Margaret:
Margaret is in the process of scanning archived materials in her quest to complete the digitization of SSD history

Committee Reports

Continuing Education– Carrol:
Carrol requested input on possible OLA sessions:
Author, Author - made up of support staff
Vision 2020
Treasurers from the Vault which may include: medical, special, law, newspaper, private libraries – a broader scope than offered at the SSD session.
Stable Libraries, Stable Funding
Serving patrons with disabilities – discussed 1 of the speakers at SSD developed a story time for children.
Carrol asked about the best way to contact potential speakers: phone, email, mail. The consensus being use whatever format works for that speaker.
She asked about the amount of detail needed to complete the OLA session proposal: speaker is good and a basic concept of the presentation is what is need by the deadline.
Carrol will send Sean a short survey addressing “what do you want to see CE offer?” to submit via MemberClicks.
Susan Gilmont shared a preconference possibility on diversity. Offer either a half day or full day option with the 1st half including concepts and the 2nd on learning the skills to recruit, hire & retain diverse staff. ½ day may be $65 or $85 for a full day including lunch. Susan G – you may want to elaborate on this.
Cathy will contact Linda Kurtz from Sisters Public Library and Shanel Parette from Willamette University about becoming a member of the CE committee.

Scholarship – Melissa:
Melissa did not attend the meeting. Melissa has asked to be replaced as Chair. This sub-committee will go back under the umbrella of CE.

Membership/Outreach – All:

Conference – Margaret:
Margaret was on vacation but did report that she is consolidating the evaluations.

Tech Team-Sean, Becki, Kate:
Sean attended his first meeting. MemberClicks changes should be sent to him.
Blog – Susan Gilmont began a discussion on regional library posts: What’s your story? Offering a 1 time per month post from staff in various parts of the state (Klamath, N & S Coast, Central, Portland, WA county, valley, Easter, NE. The idea needs to be embellished as to right approach. Susan will discuss with Becki Roth.

New Business:
Vision 2020 – Susan Gilmont distributed standards to be reviewed. There are several categories in which at least 1 standard should be met by the Division. We have been directed to submit standards met and how they were met to Susan Bacina by mid-September.

Thoughts on Barriers – Susan Bacina is part of an OLA committee reviewing barriers and/or obstacles preventing people for being involved in OLA and it’s divisions/units. Some barriers include: money/time/distance/economy. Susan represents SSD and academic libraries. This will probably be a year-long project. Susan Gilmont submitted a question on barriers to ALA/LSSIRT. She received several responses.

Question asking, “why are all library directors not OLA members?” How do we answer this? Should a committee be formed? Should it be addressed by OLA?

Bylaws Revisions – 15.032: delete; 15.0438: is the mid-year report still requested. Susan Gilmont will research.

Next meeting
October 22, 2010 in Salem, either the public library or State Library.
